What each column does
asset- A recognizable asset name or your internal ID.
task- The recurring task you want to track.
interval_days- The number of days between tasks. Choose this from your manufacturer’s manual and your own maintenance plan.
last_completed- The last completion date, in YYYY-MM-DD format. Leave blank if unknown.
assigned_to- The role or team member responsible.
notes- Context for the next handover. Leave sensitive information out.
A practical way to use it
- Replace the example with one asset and one recurring task per row.
- Choose intervals using the manufacturer's manuals and your authorized maintenance procedures. The sample interval is an administrative placeholder, not a maintenance recommendation.
- Add an owner and the last known completion date. In a separate spreadsheet column, calculate the next due date as last completed plus interval days.
- Sort by next due date during your planning review. Update the completion date and notes after each task.
Example: review an asset's record
The sample row tracks an administrative review of an asset record. It does not describe equipment servicing, safety checks, or regulated maintenance. This spreadsheet is a planning aid, not technical or safety guidance.
When a shared plan would help
